Apex Maths ("I," "me") respects your privacy. This policy explains how I collect, use, store, and protect your personal data in accordance with Singapore's Personal Data Protection Act (PDPA).
1. What Information I Collect
Information You Provide:
- Name, email address, phone number (via contact form or WhatsApp)
- IB course level and current challenges (from application form)
- Student work, progress notes, and assignment responses (during coaching)
Information Collected Automatically:
- Anonymous website usage statistics (pages visited, time on site, traffic sources) via Plausible Analytics
- No cookies or tracking technologies are used
2. How I Use Your Information
I use your personal data to:
- Respond to inquiries and schedule placement calls
- Provide coaching services (sessions, assignments, progress tracking)
- Communicate about scheduling, assignments, and progress
- Send monthly progress reports
- Improve my coaching approach based on student needs
I will not use your data for marketing purposes or share it with third parties except as described below.
3. Data Processors & Storage
Your information is stored using the following services:
- Google Workspace (Gmail): Email correspondence and attached documents
- Formspark: Contact form submissions
- WhatsApp (Meta): Messaging communications
- Plausible Analytics: Anonymous website usage statistics (no personal data collected)
These providers may store data outside Singapore. I have taken reasonable steps to ensure they maintain appropriate data protection standards.
4. Data Retention & Deletion
- Email & WhatsApp Messages: Retained for the duration of our coaching relationship plus 12 months after completion (to address any follow-up questions or provide references)
- Form Submissions: Retained for 12 months. Unsuccessful applications are deleted after 6 months.
- Student Work & Progress Notes: Retained for the duration of our coaching relationship plus 24 months (to support any future inquiries or university recommendations)
- Website Analytics: Anonymous usage data retained for 36 months
Your Right to Deletion: You may request deletion of your personal data at any time by emailing james@apexmaths.sg. I will delete your data within 30 days, except where retention is required by law.
5. Data Security
I take reasonable steps to protect your personal data from unauthorized access, including:
- Password-protected accounts for all services
- Encrypted communications (HTTPS, end-to-end encryption via WhatsApp)
- Regular review of data processor security practices
- Limited access (only I have access to your information)
6. Your Rights Under PDPA
You have the right to:
- Access: Request a copy of the personal data I hold about you
- Correction: Request correction of inaccurate or incomplete data
- Withdrawal of Consent: Stop me from using your data for specific purposes (note: this may affect my ability to provide services)
- Data Portability: Request your data in a portable format

7. Sharing Your Information
I will not sell, rent, or share your personal data with third parties except:
- With your explicit consent
- When required by law or legal process
- To data processors listed in Section 3 (for service delivery only)
Parental Access: For students under 18, parents/guardians may request access to their child's progress information upon verification.
8. Data Transfers
Some data processors (Google, Meta, Formspark) may store data on servers outside Singapore. I have assessed their data protection practices and determined they provide adequate protection comparable to PDPA standards.
9. Changes to This Policy
I may update this policy occasionally. Material changes will be communicated via email to active students. The "Last Updated" date at the top reflects the most recent version.
